Clubhouse Rental Information and Contract 1. Reservation Requests: All requests will be subject to availability. Reservations are confirmed upon receipt of payment. There are no “holds”. Concord Station reserves the right to accept or deny the facility use, as it deems appropriate. Renters are required to adhere to the rental times specified on the contract. Should the event continue after or begin prior to the contracted time, additional room charges will apply. 2. Reservation Payment: To secure the booking of the facility, payment in the form of a check or money order (no cash) is expected at time of reservation. The $100 rental fee includes time during clubhouse hours. 4 hours plus ½ hr setup time and ½ hour breakdown time for a total of 5 hours. Reserving a party during non-clubhouse hours is under the discretion of the clubhouse general manager and requires prior approval. Non-clubhouse hours reservations include an additional fee of $20/each additional hour to compensate for a staff member to be onsite. This will be included in the total reservation fee, payable upon the reservation. 3. Alcoholic Beverages: Alcoholic beverages are allowed on site. 4. Cancellation Fees: Any reservation cancelled 14 days (2 weeks) prior to the event will be subject to a cancellation fee, which is equal to 25% of the room rental fee. 5. Security/Cleaning Deposit: A $250 refundable security deposit/cleaning deposit is required. Upon a successful post event inspection, this check will be returned to the renter. If any additional cleaning or repairs are deemed necessary at inspection, the funds will be used from this deposit. Any additional monies required will be requested. See also #7 Additional Conditions. I understand Concord Station Clubhouse requires a post-event room inspection following my event, with my event’s point-of-contact and a Concord Station Clubhouse staff member. Failure to do so will result in the loss of the entire security/cleaning deposit, regardless of the room’s appearance and cleanliness. Renter Initials____________date_____________ 6. Damages & Liabilities: The renter hereby acknowledges that (s)he assumes all liability for any loss of or damage to any of renter’s merchandise or articles used or left at the facility whether such loss occurs prior to, during, or following renter’s event. Renter shall be solely responsible for and shall immediately reimburse Concord Station Clubhouse for any damage to the premises caused by renter, renters guests, invitees, employees, independent contractors or other agents that are greater than the security/cleaning deposit paid with this contract. Renter shall indemnify, defend and hold harmless Concord Station Clubhouse against any and all claims, losses, damages or liability arising out of or related to renter’s function irrespective of whether such claims, loss, damages or liabilities arise from active or passive activity. Renter Initials____________date_____________ 7. Additional Conditions: Parties of 60 guests or more require an off-duty police officer. This fee is the responsibility of the renter. The Concord Station Clubhouse requires a post-event inspection immediately following the event with my point-of contact. No tacks, nails, or adhesives are to be used to affix any signs, banners or decorations to the walls. Clubhouse decorations and furnishing inside the clubhouse cannot be removed for your event, i.e. framed paintings or equipment. Fire exits (Exit sign doors) must not be blocked under any circumstances. No food or drink is permitted in the foyer or restrooms. Should the event continue after or begin prior to the contracted time, additional rental fees will apply.

Renter Initials_____________date______________ 8. Clubhouse Furniture: There is absolutely NO eating or drinking allowed on any leather furniture. You are allowed to move furniture anywhere within the room as long as the furniture is back to its original position when your time has ceased. You can not move furniture into the front foyer or hallway to the bathrooms or the game room if there are residents in there using the equipment. Renter Initials______________date____________ 9. Pool: The use of the pool or pool deck is strictly prohibited during your event. All activities must remain indoors. No guest shall be able to use the swimming pool or pool deck area, the doors to the pool will be locked during your party. Your guest will be allowed to use the playground and open field area. Clubhouse Rental Information and Contract 10. Billiards Room: Use of this room is for individuals 16 years or older, unless supervised by an adult. Residents take priority to the room, so if a resident comes in and wants to use the room, the guest to the party will have to vacate for 30 minutes. This room is not included in the room rental.
